Overview
The Studio Operations Assistant is responsible for supporting the day-to-day operations of studio facilities, ensuring a seamless workflow for production teams, clients, and internal staff. This role assists with studio logistics, communication across the studio, and general administrative support. The Studio Operations Assistant plays a key role in maintaining an organized and efficient production environment while upholding safety and operational standards.
Job Responsibilities – What You’ll Do
Front-of-House & Customer Service
- Manage the reception area and act as the first point of contact for all studio visitors, clients, and staff.
- Issue ID passes and manage access levels for staff, tenants, productions, and visitors using the Net2 access control system.
- Troubleshoot basic access control issues and assist productions in using studio systems effectively.
- Provide first-class customer service and maintain a professional studio environment at all times.
- Take, record, and pass on accurate messages; greet and assist guests with professionalism and warmth.
- Provide refreshments for meetings and visitors as needed.
- Maintain a clean, organized, and welcoming reception and operations office environment.
Studio Operations Support
- Assist with the setup, breakdown, and maintenance of studio spaces to ensure production readiness.
- Support the scheduling and coordination of studio bookings and production activities.
- Track and log maintenance issues, client requests, and work orders using internal systems (e.g., Loc8).
- Coordinate with vendors, contractors, and facilities teams to ensure smooth daily operations.
- Monitor and restock supplies for staff kitchen, reception, and offices.
- Maintain updated noticeboards, distribute post, manage stationery, and support general office management.
- Communicate weekly on-site food facility menus and coordinate meeting room bookings.
- Help enforce studio operational updates and support health and safety initiatives and other studio updates.
- Monitor security and access control to ensure only authorized personnel are in production areas
Administrative & Communications
- Provide administrative support to the Studio Operations Manager and other departments as needed.
- Assist with social media updates and internal communications when requested.
- Coordinate and communicate weekend working schedules between productions and studio management.
- Assisting Operations/ Sales with post tour reports
- Maintain accurate logs and reports to support operational efficiency.
Any other duties as deemed appropriate by Studio Operations management.
Qualifications – What You’ll Bring
Required
- 1-3 years of experience in studio operations, production support, or facilities administration
- Have a good knowledge of access control systems (preferably Net2).
- Be passionate about always delivering first class customer service.
- Excellent communication and customer care skills.
- Strong organizational and problem-solving skills
- Ability to multitask and work in a fast-paced production environment
- Excellent communication skills and a proactive approach to operational support
- Physical ability to lift and transport equipment or materials as needed
Preferred
- Associate’s or Bachelor’s degree or equivalent in Film Production, Business, or a related field
- Familiarity with studio scheduling software, inventory tracking tools, or budgeting systems
