The Role
We are seeking an Administrative Assistant to support the Nonfiction Production team based in London. This position will assist in the management of a very busy department, supporting the two Production Leads by handling a heavy volume of calls and emails, organising meetings, calendars and travel, creating presentations/slides, helping coordinate production slates and providing overall support to the wider Nonfiction production team.
A successful candidate will be passionate, self-motivated, quick-thinking, flexible and thorough. They will be adept at juggling multiple and diverse responsibilities with a strong emphasis on organisation and an unwavering attention to detail at all times. This is a fast paced environment that requires someone who is proactive and a positive thinker, and is able to exercise good judgment and communicate clearly, as well as able to deal with multiple stakeholders. The role supports a team that oversees shows produced across the UK Nonfiction slate (Unscripted, Documentaries and Comedy) and also involves extensive interactions with external teams and third party producers.
Specific responsibilities include, but are not limited to:
- Manage the scheduling of complex calendars
- Coordinate domestic and international travel
- Take and circulate notes from meetings
- Facilitate clear and concise communication among all necessary parties
- Gather, track and enter production related data among multiple internal platforms
- Work collaboratively with admins within the wider Production Org, Content teams and other functions
- Maintain, update and champion the use of internal systems to track and manage show information within Netflix
- Update data using Netflix tools and provide assistance in training others to use Netflix tools and understand our workflows
- Serve as bridge between productions and internal Netflix teams to ensure both sides receive pertinent updates in a timely manner
- Process expense reports in a timely manner
- Any other duties as necessary to support the productions and the department.
Qualifications:
- Ideally, 2-3 years as a production secretary/ coordinator or an assistant supporting a Head of Department
- Strong understanding of production workflows and experience working on productions on set or in a production office
- Ability to handle a very active desk supporting numerous simultaneous productions
- Ability to respond after hours for important, timely or urgent matters
- Team player who operates in a fast paced team-oriented setting
- Excellent written and verbal communication skills and the ability to multitask in a matrix environment
- Absolute proficiency in the Google Suite of apps (Drive, Docs, Sheets, Slides, GMail, Forms and Calendar), as well as being overall tech savvy
- Ability to be discreet and handle confidential information
- Understanding of how to prioritize and respond accordingly
- Willingness to continue learning to ensure thorough understanding of current production processes and equipment
- Willingness to take educated risks and think out of the box
